Registration Requirements

To attend classes at Western Oregon University you must register for those classes per the university’s Course Registration Policy

  • You must be registered by the deadline to add classes (refer to the academic calendar for specific dates).
  • It is a violation of university policy to attend or participate in a class past the registration deadline.
  • You will be barred from attending or participating in class after the deadline.
  • Most classes, including in-person classes, use an online learning management system – Canvas – to deliver content.
  • Access to the learning management system for a class requires that you be registered for the class.

Schedule Planner Explained

WOU has an amazing Schedule Planner. Just as the name implies it is a tool to help you plan the perfect schedule for your academic and personal needs. You identify the classes you need and any schedule restrictions you may have and the system will generate all the possible schedules that meet your needs.

Here are some things to know in order to get the most of it:

  • Use it early! This is a planning tool you can use before your registration day and time.
  • The Schedule Planner leverages technology to help you find the most effective schedule for your personal and academic needs.
  • You can create and save schedules prior to your advising appointment and then go over the plan with your advisor.
  • Save your favorite plans. We recommend having at least two plans, a primary and a backup.
  • You will send your plan to WolfWeb for use in registration.
Schedule Planner Resources

The Schedule Planner is easy to use, but if you need help there are plenty of resources:

  3. Discuss the appropriate classes to use in the Schedule Planner with your advisor.
  4. If you find you are still having technical difficulties contact the Office of the Registrar.
Schedule Planner Instructions
  1. From your student Portal, open Experience, navigate to the Registration Menu card, and then select the Schedule Planner link.
  2. Select your desired Term and Campus(es) and update any other search criteria as needed, then click Save and Continue.
  3. Use the Add Course function to search for and select courses to your plan to take. Additionally, utilize the Breaks tool to input any times you are unavailable (e.g., work, meetings, or preferred study times).
  4. Click the Generate Schedules button for the system to generate possible schedules for you.
  5. From the list of generated schedule options, click the View button next to any schedule to see a detailed, visual representation of the class times on the calendar.
  6. From the list of generated schedules, select and view your best schedule option.
  7. Once your desired schedule is created, from the Potential Schedule view, you can review your final proposed schedule and, when ready, click the option to Send to Registration Cart.
    • Important Note: You will need to send your schedule to the Registration Cart in order to register.
  8. After selecting Send to Registration Cart, the system will confirm the transfer of the schedule to your cart. Review the confirmation message, then click Continue to proceed with registration.
  9. You can now enter the Registration area using one of the two options below. Open Experience and select:
    • Option 1: Navigate to the Registration Menu card and click Open Registration Dashboard.
    • Option 2: Navigate to the Student Menu card, click Open Student Profile and click Registration and Schedule.
  10. In the Registration area, click Register for Classes and Select a Term, and click Continue.
  11. In the Register for Classes area, navigate to the Plan tab to view the schedule you created in Schedule Planner. From here, you have two options for adding courses to your registration Summary:
    • Add All to quickly move every planned course into the registration Summary.
    • Alternatively, use the Add button located next to individual classes to select them one by one.
    • Once the classes have been added to the Summary, the courses will reflect they are Pending. To complete registration for the course(s), click Submit to officially register for the course(s).
    • Once you click Submit, the Status column will read Registered and you have successfully enrolled in the class.

    Experience

    Experience Access

    Experience contains many services for students, ranging from registering for classes to viewing your unofficial transcript. You can register for classes in Experience as well as through the Schedule Planner tool.

    To access Experience registration:

    • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
    • From here you can access various registration tools including:
      • Prepare for Registration – View registration status, update student term data, and complete pre-registration requirements.
      • Browse Classes – Looking for classes? In this section you can browse classes you find interesting.
      • Register for Classes – Search and register for your classes. You can also view and manage your schedule.
      • View Registration Information – View your past schedules and your ungraded classes.
    Experience Uses

    The following actions can only be completed using the Experience registration tools:

    • Enrolling in a class from the waitlist.
    • Enrolling in a closed class after receiving a capacity override.
    • Submitting your Schedule Planner Registration Cart to officially register for classes.
    • Dropping or withdrawing from classes you are registered for.
    • Viewing registration overrides that you have received.
    Experience - Searching and Registering for Classes

    How to search and register for classes:

    • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
    • In the Registration area, click Register for Classes, then Select a Term, and click Continue.
    • Utilize the available search criteria (e.g., subject, course number) to locate the desired classes.
    • To register for a class, select the course(s) and click Add. To register for multiple classes, repeat the search process to find and Add all necessary classes.
    • After you click Add, the course(s) will be listed in the Summary area, and the Status column will reflect Pending.
    • Once you click Submit, the Status column will update to read Registered, verifying the successful enrollment in the class.
      • To register for multiple classes at the same time you select the class and click Add. Use the search criteria to search and Add more classes. In the Summary area, review the courses, and then click Submit.

    Important Note

    • If a course has reached its capacity, the Status column will display as FULL: 0 of # seats remain. If you encounter a full course, please refer to the Registration Overrides or Waitlisting section on this page.
    • If registration is unsuccessful, an error message will display detailing the issue(s). Resolving the issue(s) will allow you to complete registration, please refer to the Registration Overrides section on this page.

    Experience - Manual Registration with a CRN

    Entering CRNs Manually to Register

    Important Note: Using this manual registration method requires that you know the exact CRN for the class(es). You must utilize this option if you have been granted a registration override to register for a class(es).

    1. From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
    2. In the Registration area, click Register for Classes, then Select a Term, and click Continue.
    3. Once in the Register for Classes area, click the Enter CRNs tab to manually enter the CRN of the class(es).
    4. You must know the CRN for the class(es) you intend to register for.
      • Important Note: If the class requires both a lecture and a lab section, you must register for both simultaneously. Enter the first CRN, click +Add Another CRN, enter the second CRN, and then click Add to Summary.
    5. After you click Add to Summary, the course(s) will be listed in the Summary area, and the Status column will reflect Pending.
    6. Once you click Submit, the Status column will update to read Registered, verifying the successful enrollment in the class.
      • If registration is unsuccessful, an error message will display detailing the issue(s). Resolving the issue(s) may allow you to complete registration. For more details, refer to the Registration Overrides section on this page.
      • Note: If a class is full but offers a waitlist, use the Action column dropdown menu to select Waitlist for the course, and then click Submit. The course Status will then update to Waitlisted. For more details on waitlisting, refer to the Waitlisting section on this page.

    Experience - Adjusting Variable Course Credits

    How to adjust vairable course credits:

    • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
    • In the Registration area, click Register for Classes, then Select a Term, and click Continue.
    • After registering for the course, navigate to the Schedule and Options tab to view the course schedule.
    • Locate the specific variable course in the schedule list. In the Credits column, you will see that the credit value is underlined and highlighted in blue. This indicates it is a clickable link. Click on the blue, underline credit value to proceed.
    • A new window will appear, displaying the allowed credit range (e.g., Must be from 2 to 4). Enter the desired number of credits (e.g., 3) that falls within this specified range. Once entered, click the Submit button (located in the bottom-right corner) to save and finalize your credit adjustment.
    • The screen will refresh. The updated credits (e.g., changing from 2 to 4) should now be displayed in the Credits column for that specific course. A confirmation message (green) will appear at the top of the page, confirming the successful update (e.g., Save Successful).

    Experience - Course Drop vs. Course Withdrawal: Definitions

    Understanding the difference between dropping and withdrawing is essential as the actions have different effects on your academic record.

    Important Note: Always refer to the academic calendar for the specific drop and withdrawal deadlines for the current term.

    How are they different:

    • Deadlines: The deadline to drop a class is earlier in the term than the deadline to withdraw.
    • Transcript Appearance: A course that is dropped will not appear on your academic transcript.
    • Transcript Mark: A course that is withdrawn will appear on your academic transcript with a mark of ‘W’ (withdrawn).
    • GPA Impact: The ‘W’ grade will not harm your GPA; it simply indicates that you were enrolled past the drop deadline.
    • Refunds: The withdrawal period begins after the last day to receive any type of tuition refund for a class.

    How are they the same:

    • Academic Responsibility: In both cases, once the action is complete, you are no longer academically responsible for the class.
    • Process: Both dropping or withdrawing from a course are completed online through Experience.
    • Registration Holds: A registration hold will prevent you from processing a drop or withdrawal online. If you have a hold, you must email registrar@wou.edu from your official WOU email address by the deadline.
      • In your email, you must include:
        • A statement that you would like us to drop or withdraw you from a course or courses.
        • The CRN, subject, and course number for each course you wish to drop or withdraw.
    Experience - How to Drop or Withdraw from a Class

    Refer to the academic calendar for the drop and withdrawal deadlines for a given term. If you have registration holds preventing you from dropping/withdrawing classes online email registrar@wou.edu for assistance, the email must be sent before the deadline has passed.

    How to Drop or Withdraw from a Class online:

    1. From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
    2. In the Registration area, click Register for Classes, then Select a Term, and click Continue.
    3. In the Summary area reflecting your registered class(es), locate the course you intend to drop or withdraw and then navigate to the Action column for that specific class.
    4. In the Action column, use the drop-down menu to select either Web Course Drop or Web Course Withdrawal, and then click Submit.
      • Important Note: If you need to drop or withdraw from multiple courses, select the appropriate action for each course first. After all desired changes have been made in the Action column, click Submit once to finalize all changes.
    5. Once you click Submit, the Status column will update to read Dropped or Withdrawn, verifying the successful removal of the course from your schedule.

    Registration Overrides

    Registration Overrides Explained
    • Email the instructor if you are experiencing a prerequisite, instructor approval, class, major, and/or time conflict error.
    • If appropriate the instructor will enter an override in Experience.
    • You MUST register for the class in Experience, using the manual registration option. For more details on manual registration, refer to Experience – Manual Registartion with a CRN section on this page. 
    • Having an override does NOT equal being registered.
    Registration Overrides - Viewing Your Approved Registration Override(s)

    Great news, you can view your overrides in Experience!

    You can view registration overrides that have been granted to you in Experience. 

    • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
    • In the Registration area, click Prepare for Registration, then Select a Term, and click Continue.
    • Within the Prepare for Registration area, navigate to the Permit Override section. Use this step to verify that the instructor has entered the necessary override(s) on your student record for any specific course requiring their permission. Before proceeding with registration, please ensure you have recorded the specific CRN for each class you plan to register for.

    This is particularly helpful when checking to see if an override you discussed with an instructor has been added to your record. Additionally, if you received an override but are still unable to register check here to compare the overrides you have with the error message you are receiving. You may need to reach out to your instructor to help resolve the remaining issue(s).

    Do not forget that during the wait-listing period capacity overrides are not available for closed classes. If the class is closed and wait-listing is ongoing you should wait-list yourself for the class. If you do not get in the class during the wait-listing period you can follow up with the instructor after wait-listing ends to determine if a capacity override is possible. Don’t forget, having an override does NOT equal being enrolled. Login to Experience and register for the class!

    Registration Overrides and Waitlisting

    What you need to know!

    A full class with an active waitlist is not eligible for a Capacity override. Capacity Overrides (which allow registration for a full class) can only be issued by instructors after the official waitlisting period has concluded.

    For example, if you receive an approved Prerequisite override for a class that is full, your first step must be to waitlist the course. If you are not successfully registered via the waitlist, you may request permission from the instructor to register for the full class after the waitlisting period ends. If approved, the instructor will provide a Capacity override, in addition to the existing Prerequisite override. Don’t forget, receiving any override does NOT equal being regitered. You must still log into Experience and manually complete the registration process for the class.     Registration Overrides - Class is Full

    You need the class reference number (CRN)!

    Once wait-listing has ended, instructors may issue a Capacity Override to allow a student to register for a class that is full. If your instructor provides a Capacity override you will need to manually enter the CRN of the class in the Register for Classes area in Experience. For more details on manual registration, refer to the Experience – Manual Registration with a CRN section on this page.  

    To locate the CRN for the approved override(s), in Experience navigate to the Prepare for Registration area to view your Permit Override(s), where the CRN for the class will be displayed. For more details on how to view your approved override(s), refer to the Registration Overrides – Viewing Your Approved Registration Override(s) section of this page. 

    Before proceeding with registration, please ensure you have recorded the specific CRN for each class you plan to register for.

      Registration Overrides - Instructor Approval Required for Registration in Week Two

      Instructor approval required!

      Due to the accelerated pace of a quarter system, it is critical that students attend class and engage in class material from the beginning of the term. Although the university’s deadline for enrolling in a class is Friday of Week Two the expectation is that students register and engage in the class from the start of the term.

      In order to register for a class during Week Two, it is required to receive instructor approval in the form of an override. If you receive an override, register right away!

      Afterthe registration deadline (Friday of Week Two), you are no longer permitted to attend or participate in any class for which you are not officially registered. Instructors will ask unregistered students to stop attending after this deadline.

      Waitlisting

      How the Waitlist Works

      Waitlist positions are strictly managed on a first-come, first-served basis. Your position on the waitlist directly determines your opportunity to register:

      • If you are the first student to join the waitlist, you will be the first student offered the open seat when one becomes available.

      Once you are on the waitlist, check your WOU email at least once per day. We strongly recommend checking it twice daily. If an open seat becomes available in your waitlisted class, an automatic notification will be sent to your WOU email address.

      You are given 24 hours from the exact time the email is sent to log in and officially register for the class.

      • If you fail to register for the class within the 24-hour window, you will be automatically dropped from the waitlist. The open seat will then immediately be offered to the next student in line.

      If you are dropped for missing the 24-hour window, you may waitlist the class again, but you will be placed at the very end of the current waitlist.

      Joining a Class Waitlist

      How to Successfully Waitlist a Class

      • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
      • In the Registration area, click Register for Classes, then Select a Term, and click Continue.
      • Utilize the available search criteria (e.g., subject, course number) to search for your desired classes.
      • If the course is full, the Status column will reflect Full: 0 of [Total #] seats remain. If there is an active waitlist for the full course, to join the waitlist, select the course and click Add.
      • After you click Add, the course(s) will be listed in the Summary area, and the Status column will reflect Pending.
      • If the course has an active waitlist, in the Action column, from the drop-down menu, select Waitlist, and click Submit.
      • Once you click Submit, the Status column will update to read Waitlisted, confirming successful placement on the waitlist.

      How to Successfullly Waitlist a Lab or Recitation

      • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
      • In the Registration area, click Register for Classes, then Select a Term, and click Continue.
      • Utilize the available search criteria (e.g., subject, course number) to search for your desired classes.
      • If the lab/recitation class is full, the Status column will reflect Full: 0 of [Total #] seats remain. To join the waitlist for the full lab/recitation, click Add for your preferred Lecture section (e.g., BI 134) and then click Add for your preferred lab/recitation section (e.g., BI 134L).
        • Important Note: To be added to the waitlist of a lab/recitation, you also must Add the lecture section to the Summary area.
      • After you click Add, the course(s) will be listed in the Summary area, and the Status column will reflect Pending.
      • In the Summary area, navigate to the lab/recitation class, in the Action column, from the drop-down menu, select Waitlist, and click Submit.
      • Once you click Submit, the Status column for the lab/recitation class will update to read Waitlisted, confirming successful placement on the waitlist.
        • The Status column for the lecture section will read Errors Preventing Registration. You will also see a red error message box indicating the corequisite is required (e.g., Corequisites BI 134L required). Click Ok on this message to proceed.
        • To finalize this stage, verify that the Action column for the lecture section now reads Remove (due to the registration failure) and click Submit again. The lecture section will be removed, leaving only the Waitlisted lab/recitation on your schedule.

      Important Note:

      • If a course has an active waitlist, selecting Web Reg from the drop-down menu and clicking Submit will result in a registration error message.
      • When a lecture has a corequisite (e.g., lab/recitation), only the Lab or Recitation section will utilize the waitlist.  The lecture section itself does not maintain a waitlist.
        • Submitting both the lecture and the lab/recitation with the Web Reg action simultaneously will result in a Corequisite Error (e.g., “Corequisite BI 134L Required”) and the Status of both classes will read Errors Preventing Registration. The registration system requires that the waitlisted lab/recitation be submitted first to establish your position on the waitlist. Since the associated lecture cannot be added until the lab/recitation seat is available, the failed lecture attempt will be removed from your Summary area.

      Registering for a Waitlisted Class

      How to Register for a Waitlisted Class

      • From your student Portal, open Experience, navigate to the Registration Menu card, and then click Open Registration Dashboard.
      • In the Registration area, click Register for Classes, then Select a Term, and click Continue.
      • In the Registration for Classes area, navigate to the Summary area. In the Action column, from the drop-down menu, select Web Reg, and click Submit.
      • Once you click Submit, the Status column will update to read Registered, verifying the successful enrollment in the class.

        How to Register for a Lecture with a Waitlisted Lab or Recitation

        • In the Register for Classes. Use either the Find Classes tab or the Enter CRNs tab to re-add your desired Lecture section.
          • Find Classes tab: Search by Subject. Once the list of classes appears, locate the preferred Lecture section (e.g., BI 134), and click Add.
          • OREnter CRNs tab: Manually enter the CRN for the Lecture and click Add to Summary.
        • After you click Add or Add to Summary, the Lecture class will be listed in the Summary area, and the Status column will reflect Pending. The Action column should remain set to Web Reg.
          • In the Action column for the Lab/Recitation, from the drop-down menu select Web Reg, and click Submit.
        • Once you click Submit, the Status column will update to read Registered, verifying the successful enrollment in the classes.

        Important Note:

        • If the class requires both a lecture and a lab section, you must register for both classes simultaneously.

        Audit Registration

        How to audit a course

        To audit a course, you must be an admitted student.  You can be any type of admitted student (undergraduate, post-baccalaureate, graduate, or non-degree).  If you are not an admitted student, you will need to contact the Office of Admissions to complete an application to become an admitted student.  You will be required to pay any admission fees.  Click here for the Office of Admissions application process and contact information.

        Please follow these steps on how to audit a course for an admitted student:

        • Complete the audit course registration form, click here.
          • The form does require instructor approval.  It is between you and the instructor to determine the level of participation in the course.
          • The Office of the Registrar can accept an instructor’s email from their wou.edu email account in place of the instructor’s signature.  Please attach the instructor’s email when you submit your form.
        • Submit your completed form/documents:
          • The form/documents can be emailed as a PDF file or picture (jpeg, png file) to registrar@wou.edu from your wou.edu email address.
          • OR – The form/documents can be submitted to the Office of the Registrar.  We are located in room 145 of the Welcome Center.
          • OR – The form/documents can be faxed to 503-838-9696.

        Once you are registered for the audited course, you will be responsible for the same tuition and fees for the course as any other student.  An audited course receives a grade of AU on the transcript regardless of how much participation you do (or do not) in the class.  This grade does not have any impact on the GPA.

        If you are 65+ years old, you will need to contact Accounting & Business Services to confirm your account is in order to have the tuition waived for the audited course.  You will be responsible to pay any course fees.  Click here for the Accounting & Business Services contact information.

        Drop for Nonparticipation

        Drop for nonparticipation

        Students who do not attend or participate in a class at least once during the first two weeks of the term (comparable time frame for Summer sessions) will be administratively dropped from the class by the Office of the Registrar. The student’s permission is not required when dropped for this reason. Students must notify faculty of any situation that may prevent class participation during the first two weeks.

        Registration Holds

        Accounting & Business Services Holds

        Accounts Receivable Hold

        • To be eligible to enroll in the upcoming term, your current term balance must be reduced to $2,500.00 or less. If you were not enrolled in the current term and still have an outstanding balance, it must be paid in full ($0 balance) before the hold can be lifted. Please note that this hold will prevent the ability to register in future terms until the balance requirement is met.

        Revolving Charge Account Hold

        • All students are required by the University to have this contract on file with the Business Office. This is a financially binding agreement between you and the University, confirming your responsibility to pay your student account balance. Please note that this hold will prevent registration until the form has been completed in full.

        Collection Agency Hold

        • You have a past due balance that has been turned over to a collection agency. 

        NDSL Perkins Loan Hold

        • You have a past due balance on a Perkins Loan from WOU. You cannot register until you make enough of a payment to bring your account current. To arrange payment of your past due balance, contact the Accounting & Business Services Office at 503-838-8201.

        Admissions Hold

        Transcript Hold

        • The Admissions Office has not received your final transcript verifying either a date of graduation (for high school transcripts) or final grades or degrees awarded (college transcripts). WOU requires these transcripts in order to finalize your admission.

        To remove the hold, please send the requested transcripts to the Admissions Office. They can be sent electronically through an official transcript service (such as Parchment) or mailed directly to the Admissions Office at 345 N Monmouth Ave, Monmouth, OR 97361.

        Enrollment Fee Hold

        • The Admissions Office has not yet received your enrollment fee, which is required to confirm your spot at WOU. This fee secures your spot in the incoming class and allows you to move forward with important next steps like advising and registration. To remove the hold, submit the enrollment fee through your application portal, or to request a fee waiver, contact the Admissions Office by email at admissions@wou.edu.

        Dean's Hold

        A dean’s hold prohibits a student from registering for classes, sending and receiving transcripts, and conducting most forms of business with the University. A dean’s hold is placed when a student receives a medical withdrawal from the University. The student may not return until a return from medical leave is approved.

        Judicial Holds

        A judicial hold prohibits a student from registering for classes, sending and receiving transcripts, and conducting most forms of business with the University. A judicial hold is typically placed when a student fails to complete sanctions assigned by the Office of Student Conduct.

        Medical Hold

        A medical hold prohibits a student from registering for classes.  A medical hold is placed when a student is not in compliance with immunization requirements, which include both MMR and COVID-19 vaccinations (or an approved exemption).

        Multicultural Student Services & Programs (MSSP) Hold

        Holds placed on MSSP students for various reasons including but not limited to:

        1. Not scheduling mandatory Annual Appointments
        2. Not meeting scholarship requirements: (Example – GPA, Number of credits, CCIH hours, ICS class)

        *Note for Diversity Scholars: You must maintain a minimum of 2.0 cumulative GPA and be a full-time student (36 credits by the end of the year) 

        *Note for Bilingual Teacher Scholars: You must maintain a minimum of 2.5 cumulative GPA and be a full-time student (36 credits by the end of the year). Sophomore thru Senior Year: You must maintain a minimum of a 2.75 cumulative GPA and be a full-time student.

        To remove the hold, students are required to meet with their MSSP advisor.  To schedule an appointment with an advisor, contact the MSSP front desk at 503-838-8837 or email mssp@wou.edu.

        Student Success & Advising Holds

        Advising Hold

        • Placed on all student accounts Fall term beginning in Week 5. Some students may have an additional advising hold in Winter or Spring.
        • REQUIRES that you meet with your assigned faculty advisor PRIOR to registration, which begins Week 8 of the term.

        Academic Standing Holds

        • Any student whose GPA for the term is below 2.00 will receive a hold for their academic standing.

        U Got This! - Student Affairs Hold

        U Got This! – Student Affairs hold prohibits a student from registering for classes. A U Got This! – Student Affairs hold is typically placed when a student fails to complete the mandatory, one-time bystander and sexual misconduct training, their first term at WOU.
