NOTE: if you are considering requesting a Catering Waiver – you must read the Campus Food Policy – linked below.  Each request to waive WOU Catering Services is considered on a case-by-case basis. Submission of a Catering Waiver request does not guarantee a waiver will be approved – and must be preceded by a conversation with Catering Staff. Waivers approved during any given term are not guaranteed to be approved for subsequent requests later within a term, or in future terms.  

Campus Food Policy

WOU Catering is the primary food vendor for all catered University events and the exclusive caterer for events in the Werner University Center. University departments, clubs or groups are required to use WOU Catering for any event held on the Western Oregon University Campus.



Catering Waiver

If you are hoping to provide your own refreshments for your event, FIRST, read the Campus Food Policy (link above) to see if your event might qualify for a catering waiver.

THEN – CONTACT CATERING to see if it is appropriate for you to submit a Catering Waiver form.  Catering Waiver forms must be submitted at least 14 business days in advance. Submission of a Catering Waiver request does not guarantee a waiver will be approved – and must be preceded by a conversation with Catering Staff.

Alcohol Policy

If you would like to serve beer and/or wine at your event you may do so, as long as you abide by the guidelines in the “Alcoholic Beverages, Possession and Consumption” policy found here.

Left Over Food

Per University and Health Department guidelines, left over food after a catered event is to be discarded and composted by catering staff. If you have any questions or concerns regarding this policy, please contact catering direct via email or phone.

General Information

Guest counts

Guest counts are required at least 48 hours before larger events. Last minute guest counts received less than 48 hours of notification will be charged a 10% late fee – if accommodation is possible. If no final updates are made, the guest count from the initial confirmation will be used.

For counts greater than the guaranteed number, we will do our best to provide a comparable meal.

Billing Information

Campus Departments may pay for catering by journal vouchers entered by the catering department. After the event, a copy of the J.V. will be sent to the department billed. Catering accepts payment via cash, check, Visa or Master card Off-campus and personal events require a 50% down payment when the event is confirmed. For off-campus and personal events, the contact person will be sent an invoice for the remaining amount and payment is due 30 days from the time of billing. Call the Catering office directly at 503-838-8639 to plan your menu. Note: Requests for pricing for items that are not currently listed in our catering guide may take up to 7 business days to be completed. Please plan accordingly! 

Room Reservations

Please make room reservations in advance by contacting the Werner University Center at 503-838-8261, alternatively, you can go online to and
click to make an online reservation request.

For room reservations outside of Werner University Center, contact the appropriate building manager. Please note, Catering only supplies food, beverages and linens. All table, chair and room setup specifics need to be arragned through the building managers. Please remember to contact Catering to inform them of any special requests after speaking to the building managers. To reserve Gentle House call the Office of Gentle House at 503-838-8673.


$20.00 – For delivery of orders outside the Werner University Center but on Campus.
$30.00 – For delivery of orders requiring use of Catering transportation.

You may make arrangement with the Catering Department to pick up your own order, in which case, no delivery fees will be charged. Equipment needs to be returned within 24 hours or an equipment charge of 10% per day will be added to your billing (additional delivery fees may be added to your bill, depending on the size and location of your event). Please contact catering if you have any questions about these charges.


Linens are provided for food and beverage buffet stations. Breakfast, lunch and dinner meal service include table linens and linen napkins for guest tables. Black tablecloths with red napkins are our standard colors. Please contact the Catering Coordinator for additional color choices.Orders placed with less than seven business days may not have linens for the event. Pricing for additional linens: Tablecloth $6.00 Napkins $ .45 each.

NOTE: Guest table linens are not provided for Brown Bag Lunches, To-Go items or Pizza Orders

Our standard service is Buffet Style*, with paper plates, flatware, and cups. Please review our service styles below and specify your preference when booking your event.


All plates, silverware and glasses are set up at buffet station(s). Guests serve themselves buffet style. Catering uses compostable paper plates, flatware and cups as a standard. If you would like real glassware, plateware and flatware, please specify your preference when submitting your order. China service adds $1.00 per person to the cost of your event if located in the WUC, $2.50 per person, outside of the WUC.


Additional cost: $1.50/person.
