Western Oregon University’s Campus Recreation Department offers event space for WOU-registered student organizations, campus departments, and organizations, as well as community groups! The Health and Wellness CEenter provides a variety of activity spaces for all sizes and needs.
Reserving Space - information
- Due to the high demand of usage, the Health and Wellness Center and Turf Field facilities the Campus Recreation Department limits the number of rentals during the fall, winter, or spring terms.
- All facility reservations are made through the Campus Recreation Director or online using the Facility Reservation Request form. Please call 503-838-9535 for details.
- The Campus Recreation Director will assist your group in finding the appropriate space for your needs, developing a layout/setup, and coordinating rentals and catering while complying with university rules and regulations. All facility reservation requests will be considered when received with appropriate lead time; 10 days is recommended. Large-scale events will be considered if received with appropriate lead time; 20 days is recommended. Reservations are not final until confirmation and/or contract has been sent and/or signed by WOU Campus Recreation and are dependent on space and staff availability.
- Facilities are to be used for their intended purpose any alterations to rental activities scheduled may result in additional charges.
- Some events hosted by Campus Recreation are not to be played outside of their scheduled game time (i.e. Dodge Ball). Practice time for such activities is not permitted.
- Aquatic Center rentals must be supervised by an on-duty Campus Recreation Department employed lifeguard(s).
- Climbing Wall rentals must be supervised by an on-duty Campus Recreation Department employed Climbing Specialist(s).
- Non-university affiliated individuals or groups (or events open to the public) must provide a proof of insurance certificate indicating single-liability insurance in which Western Oregon University is named as an additional insured in the minimum amount of $1,000,000 (one million) covering bodily injury, including death, and property damage for each occurrence.
- Food and catering are scheduled through the Campus Recreation Department, which in turn will make all the necessary arrangements with WOU’s Catering Department. Outside food vendors can be utilized if requested, so please note this when filling out the facility reservation request form.
- Campus Recreation reserves the right to decline any request.
- Confirmation is sent via email after receipt of required documentation and payment.
- A minimum $20.00 staffing fee will be charged if extra staff is needed depending on the size or/and nature of the rental
