Chaperone Expectations and Information
We’d like to thank all the school districts and volunteers that make the continued success of our events possible. You are the key players who prepare students and ensure that they have a successful conference experience.
Each high school is responsible for meeting with chaperones and students prior to the conference to review the Conference Rules and Chaperone Expectations.
Chaperone Responsibilities:
1. Review and understand conference rules prior to the conference
2. Ensure students review and understand conference rules prior to the conference.
3. Ensure that all students are transported to and from the conference on school district
4. Reinforce that no drugs, alcohol, vaping, tobacco products, or smoking are allowed
5. Wear conference t-shirts & name badges. These items must be visible at all times
6. Ensure students follow school districts dress code (i.e. no personal backpacks)
7. Address cell phone misuse immediately. Please remind students to use cell phones appropriately, and not during presentations (except for taking pictures, if permission is granted by the presenter)
8. Remain with students at all times during the conference. This includes opening and closing remarks, during sessions or in the lobby of various buildings.
9. Monitor students during the entirety of the conference
10.Refrain from dancing with students or each other during the dance.

The Cesar E. Chavez Leadership Conference Committee expects you to come to the conference prepared to learn and enjoy the activities which are planned for you. We ask you to adhere to the guidelines listed below in order to ensure that you will be safe and benefit from the day.
1. All students must be transported to and from the conference on school district transportation
2. No Private cars allowed
3. All students must remain on the University campus with their chaperone at all times
4. During the opening and closing sessions, schools should sit together
5. All students are required to wear their conferences t-shirts & name badges. These items must be visible at all times
6. All students must adhere to school districts rules and procedures regarding appropriate behavior/dress code (i.e. No personal backpack)
7. No drugs, alcohol, vaping, tobacco products, or smoking allowed
8. students must remain in their assigned Student Groups and follow the directions of their WOU Group Leaders
9. During the workshop presentations, students are expected to listen respectfully, ask questions, and be fully exchanged
10. Please use cell phones appropriately, & do not use them during presentations (except for taking pictures, if permission is granted by the presenter)
Please note: Students who fail to adhere to any of these rules to leave the conference immediately. It will be responsibility of the school district chaperone to notify your school’s principal and parents and then arrange for removal of the students from the conference.

School Check-In & Morning Refreshements
School Check-In & Morning Refreshments
- After unloading from the bus, Students and Staff will enter through the main doors of the NPE/gym building. Schools will be directed to take a left, go down the hall, and enter the gym main entrance
- One School Representative (a staff person) needs to Check-In their school, and provide a final count of the number of students and chaperones attending
- The School Check-In Table will be behind the stage, in the Gym
- This is also where schools can pick up any missing student packets/materials
- Students and Staff, upon entering the gym, should go to the morning refreshments area (pan dulce and beverage)
- Once everyone has picked up their refreshments, please help students find their seats in the stands as soon as possible. Please DO NOT have students standing around in the gym while you check in. Please make sure they are seated first, then send ONE rep to check in and retrieve any missing student packets/materials
- Please note: If your school is late, there is no guarantee that your students will have access to refreshments once the welcome starts. We understand sometimes school run late due to issues out of their control, however in order to stay on time and be respectful of the speakers on the stage, refreshments are cleared out just before the opening session
