The system will not let you create a record without these being populated.)<\/em><\/h4>\n<p>If I\u2019ve done my job correctly (lol) you should be able to search by the first piece of data; <strong>Recipient Name<\/strong>. This is not a binary system so be sure to use some critical thinking here if the student\u2019s name doesn\u2019t immediately come up; don\u2019t just assume that they aren\u2019t here.<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.4.7&#8243; inline_fonts=&#8221;Arial&#8221;]<\/p>\n<p>The next section to fill out is the <strong>Tracking Number<\/strong>. See if it makes logical sense; Ed vs Edward or Tom vs Thomas\u2026. Stuff like that.<\/li>\n<li>Set it aside and look up information in <strong>THD<\/strong>. I realize this is a bit like trying to figure out how to spell a word by looking it up in the dictionary, but it will get you close at least.<\/li>\n<li>Sounds weird\u2026. But look them up on line. Sometimes we have students that use names other than their legal name and don\u2019t realize that they need to let people know.<\/li>\n<li>If you absolutely can\u2019t find a match, please \u201cMystery\u201d the parcel and give it to me <em>only after you\u2019ve exhausted all other avenues. <\/em>Cuz lord knows it\u2019s going to sit on my desk a long time.<\/li>\n<\/ul>\n<\/li>\n<li>The next section to fill out is the <strong>Tracking Number<\/strong>. This one ALWAYS starts with 1Z<br \/>Sample: 1Z9478000301240682<\/td>\n<\/tr>\n<tr>\n<td width=\"240\">\n<h2>OnTrac<\/h2>\n<\/td>\n<td width=\"384\">OnTrac packages typically start with a C1- and are 15 digits long<br \/>Sample: C11983465117681<\/td>\n<\/tr>\n<tr>\n<td width=\"240\">\n<h2>Amazon<\/h2>\n<\/td>\n<td width=\"384\">Weirdly, they all seem to start with TBA. They\u2019re 15 digits long<br \/>Sample: TBA123292081601<\/td>\n<\/tr>\n<tr>\n<td width=\"240\">\n<h2>DHL<\/h2>\n<\/td>\n<td width=\"384\">There\u2019s no real consistency to the numbers assigned to their tracking \u00a0But the envelopes are bright yellow, so they\u2019re hard to miss. 10 numbers long<br \/>Sample: 6381915525<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p><\/p>\n<ol start=\"5\">\n<li>Next, ensure that the correct <strong>Mailroom<\/strong> is selected. You have three options:\n<ul>\n<li><u>Mystery Packages<\/u>: This mailroom is specifically *ONLY* for packages that will be in my office\/on my desk within the current work day. They cannot float around in the ether because that\u2019s how packages disappear.<\/li>\n<li><u>Residential Service Center<\/u>: Any package that is going to be delivered to a student over in the RSC must be logged here.<\/li>\n<li><u>University Mail Services<\/u>: Any package going to someone that works on campus goes to this mailroom.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h2>Optional Data<\/h2>\n<p>You don\u2019t have to use these sections, but they can be very helpful when keeping records. Especially on problem children packages. These sections can also be updated and changed at any time if needed down the road. Generally, when using the next two sections, it is to help with the following question: <em>\u201cIf I were asked about this package in the future, what information would I want to have in the system to ensure that I could look it up again?\u201d<\/em><\/p>\n<ul>\n<li><strong>Carrier<\/strong>: Most of the time this will populate automatically; especially if the barcode is scanned into the system. If it is manually entered (typed) it probably won\u2019t populate automatically. It\u2019s suggested that you take the extra step to correct this, but it\u2019s not mandatory.<\/li>\n<li><strong>Sender<\/strong>: This is very helpful for record keeping, mostly for when people ask questions. For instance, a student calls and says that they are expecting a package from \u201cMom\u201d that they haven\u2019t received yet- you can then pull up the student\u2019s name\/Vnumber and see a record of everything that they\u2019ve ever received. If 5 of them say \u201cAmazon\u201d and one of them says \u201cSarah Jane Smith\u201d you can ask them to verify their mother\u2019s name and narrow it down a bit.<\/li>\n<li><strong>Special Handling<\/strong>: Again, this is helpful not only for record keeping, but also CYA (\u201cCover Your\u2026. Butt\u201d). If we receive something that requires an extra step of vigilance to make sure it doesn\u2019t get lost or ruined, note that when receiving it. This helps us avoid losing small packages, notes in the system that a handtruck might be needed and lets us know that a package might be stored in the refrigerator before we freak out because we can\u2019t find it.<\/li>\n<\/ul>\n<h2>Advanced Optional Data<\/h2>\n<ul>\n<li><strong>Package Condition:<\/strong> If it\u2019s leaking or \u201csounds broken\u201d or wet or generally look like it was run over by a tractor, note that information here as soon as you notice it.<\/li>\n<li><strong>Staff Notes:<\/strong> This will only be visible to other users, but can be seen if the recipient asks for a copy of their delivery record, so keep this professional and don\u2019t leave sensitive information here. DO, however, leave anything else here. If there was something wrong with it\u2026. If the student wasn\u2019t expecting it; anything that you think might be helpful if we have to look into the delivery down the road.<\/li>\n<li>The rest of the optionals are pretty self-explanatory!<\/li>\n<\/ul>\n<p>That\u2019s it! Click the \u201cLog This Package In\u201d button and it\u2019s programmed into the system!
