Use the tabs below to review where your program is in the cycle and what needs to happen next. <span style=\"font-weight: 400\">If you&#8217;re not sure what year your program is in, you can find your next review year on the<\/span> <a href=\"https:\/\/docs.google.com\/spreadsheets\/d\/1G0N51sBxTxkJ1jQu_IlQNvqwv5MA-hq8xdogz9iJY6Q\/edit?usp=sharing\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400\">schedule of academic program reviews<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/p>\n<p>[\/et_pb_text][et_pb_tabs _builder_version=&#8221;4.27.5&#8243; _module_preset=&#8221;default&#8221; hover_enabled=&#8221;0&#8243; global_colors_info=&#8221;{}&#8221; sticky_enabled=&#8221;0&#8243;][et_pb_tab title=&#8221;Year 6&#8243; _builder_version=&#8221;4.27.5&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<h2><span style=\"font-weight: 400\">Preparing for Review (Winter and Spring Term)<\/span><\/h2>\n<h3><span style=\"font-weight: 400\">Between Week 10 of Winter and Week 1 of Spring Term<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Associate Provost notifies the Dean and Division Chair of the programs up for review.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">By Week 3 of Spring Term\u00a0<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Dean and Division Chair facilitate selection of a Program Review Leader and notify the Associate Provost.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">By Week 10 of Spring Term<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader meets with the Associate Provost to review the self-study timeline and templates.<\/span><\/p>\n<p><span style=\"font-weight: 400\">The Office of Academic Effectiveness will reach out to the Program Review Leader to schedule this meeting and provide basic report data for the program(s) from Institutional Research.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">By Finals Week of Spring Term<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader requests any additional Institutional Research data or data breakdowns to assist with their review. Submit data requests at <a href=\"https:\/\/wou.edu\/institutionalresearch\/data-requests\/\" target=\"_blank\" rel=\"noopener\">https:\/\/wou.edu\/institutionalresearch\/data-requests\/<\/a><\/span><\/p>\n<p><span style=\"font-weight: 400\">The Higher Education Coordinating Commission (HECC) also provides <\/span><a href=\"https:\/\/www.oregon.gov\/highered\/strategy-research\/pages\/dashboard-public-universities.aspx\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400\">data on broader state demographics and trends in the public universities<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/p>\n<p><span style=\"font-weight: 400\">Basic IR data will include:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Student enrollment over 7-year period<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Degrees and certificates awarded in 7-year period<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Current faculty FTE<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Current sections taught<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Current student credit hours (up to the previous Fall Term)<\/span><\/li>\n<\/ul>\n<p>[\/et_pb_tab][et_pb_tab title=&#8221;Year 7&#8243; _builder_version=&#8221;4.27.5&#8243; _module_preset=&#8221;default&#8221; hover_enabled=&#8221;0&#8243; global_colors_info=&#8221;{}&#8221; sticky_enabled=&#8221;0&#8243;]<\/p>\n<h2><span style=\"font-weight: 400\">Conducting the Self-Study (Fall and Winter Term)<\/span><\/h2>\n<h3><span style=\"font-weight: 400\">September \/ Faculty Return to Contract<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Institutional Research will provide any additional data that was requested by the Program Review Leader the previous Spring.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">By Week 10 of Fall Term<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader coordinates completion of the self-study using the self study template in their academic program review shared folder. Here is a <a href=\"https:\/\/drive.google.com\/file\/d\/12DWGsUx9XPnBKF-5QyOMPLcgP5UiwSiI\/view?usp=sharing\" target=\"_blank\" rel=\"noopener\">viewable file<\/a> that illustrates all of the fields contained in the self-study report.<\/span><span style=\"font-weight: 400\">\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">The self study includes the development of a major curriculum map for each degree included in the self study; each program will have a customized template in their academic program review shared folder.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400\">Planning the External Review (Fall Term)<\/span><\/h2>\n<h3><span style=\"font-weight: 400\">By Week 3 of Winter Term<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review faculty identify potential external reviewers; Program Review Leader forwards a ranked list of 2-3 potential reviewers to the Associate Provost.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Upon receipt of the ranked list, the Associate Provost will extend an invitation to the external reviewer and notify the Director of Academic Affairs once the external reviewer is confirmed. The Director of Academic Affairs will complete a Professional Services Contract for the external reviewer; <\/span><b>be aware, the contract process can take up to three months to complete<\/b><span style=\"font-weight: 400\">. The contract includes an honorarium of $1000 for the virtual external review.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">Upon confirmation of signed contract<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader will be notified once the contract is complete. At this point, they will coordinate with the external reviewer to arrange the schedule for the virtual site visit.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">The schedule includes, but is not limited to:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Review of self-study prior to visit\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Meeting with Provost or representative for WOU mission context\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Meetings with Program Review Leader and all Program Faculty\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Class observations and online course reviews\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Student focus groups or interviews\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Debrief meeting with Dean and Division Chair, as appropriate<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400\">Conducting the External Review (Winter or Spring Term)<\/span><\/h2>\n<h3><span style=\"font-weight: 400\">Two weeks prior to scheduled external review<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader provides the external reviewer with copies of their self-study and the <a href=\"https:\/\/docs.google.com\/document\/d\/1C5Ve1_KEBrJGxXcWZ_a-ibMD_GVCBu7x6tbwWn16qy8\/edit?usp=drive_link\" target=\"_blank\" rel=\"noopener\" title=\"FAQ for External Reviewers\">FAQ for External Reviewers<\/a><\/span><\/p>\n<h3><span style=\"font-weight: 400\">During the external review<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Associate Provost, Dean, and Program Review Leader meet with the external reviewer.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Program Review Leader ensures that the external reviewer meets with all other relevant stakeholders per established review schedule.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">Two weeks after the external review<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader receives the complete draft report from external reviewer, for fact check.<\/span><\/p>\n<h2><span style=\"font-weight: 400\">Preparing and Submitting Executive Summary (Spring Term)<\/span><\/h2>\n<h3><span style=\"font-weight: 400\">Upon receipt of the external review report<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader responds to the external reviewer report, if any clarifications are needed.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Program Review Leader develops the Executive Summary by integrating the findings and recommendations from the self study with those from the external reviewer\u2019s report.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">The Executive Summary is submitted to the College Dean for review, and to the Associate Provost of Academic Effectiveness to be archived and made publicly available on the<\/span><a href=\"https:\/\/wou.edu\/academic-effectiveness\/review-summary\/\" target=\"_blank\" rel=\"noopener\"> <span style=\"font-weight: 400\">Academic Effectiveness Program Review webpages<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/p>\n<p>[\/et_pb_tab][et_pb_tab title=&#8221;Year 1&#8243; _builder_version=&#8221;4.27.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<h2><span style=\"font-weight: 400\">Developing a Strategic Action Plan (Fall and Winter Term)<\/span><\/h2>\n<h3><span style=\"font-weight: 400\">Fall Term<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Program Review Leader meets with the program faculty to discuss the review and recommendations from the Executive Summary, and develop a draft of the Program Strategic Action Plan.<\/span><\/p>\n<p><span style=\"font-weight: 400\">Once the draft of the Action Plan is complete, the Associate Provost for Academic Effectiveness facilitates a meeting for representatives of the department and college \u2014 faculty, department head\/program coordinator, division chair, and dean \u2014 to discuss the plan.
